Terms & Privacy Notice

This is a short, interim notice. A fuller set of terms is being prepared. When it is published you will be asked to read and accept it before you continue using Khula eKasi. We would rather give you something short and accurate now than something long and vague.

1Who we are

Khula eKasi is operated by Khula Foundation NPC, a non-profit company registered in South Africa. We are the responsible party for the personal information described here, as that term is used in the Protection of Personal Information Act (POPIA).

2What Khula eKasi does

Khula eKasi is a platform for recording and supporting informal businesses — spaza shops, salons, car washes, taverns and street traders. Trained field agents visit a business, record where it is and who runs it, and a coordinator reviews that record.

Creating an account here does not give you a job, a loan, a grant or a guaranteed income. If you are joining as a field agent, your application is reviewed by a person before your account is activated.

3What we collect, and why

We collect only what the platform needs in order to work:

  • Your account details — your name, email address, mobile number and the province you work in. We need these to create your account, to contact you, and to place you with the right coordinator.
  • What you do on the platform — the businesses you register, the photographs and locations you capture, the visits you record and the messages you send. This is the work product of the platform.
  • Verification documents, if you upload them — identity documents, proof of address, banking confirmations. We use these only to verify who you are and to pay you, and for nothing else.

Giving us this information is voluntary, but we cannot create or operate an account without your name, email address, mobile number and province.

4Who can see it

Access is limited by role. A field agent sees their own work. A provincial coordinator sees the agents and businesses in their own province. Administrators can see the whole platform. These limits are enforced by the system, not only hidden in the screens you see.

5Where it is kept

Platform data is hosted in Ireland, in the European Union. Backups are stored in the same region. This means your information is transferred outside South Africa; the European Union has data-protection law comparable to POPIA.

6Your rights

Under POPIA you may, at any time and free of charge:

  • ask what personal information we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete information we no longer have a reason to keep;
  • object to how we are using your information;
  • complain to the Information Regulator of South Africa, whether or not you complain to us first.

7Marketing

We will not send you marketing messages unless you ask us to. Messages about your own account — a password reset, an application outcome, a message from your coordinator — are not marketing and will still be sent.

8Closing your account

You can ask us to close your account at any time by emailing us. Some records must be kept after closure where the law requires it; we will tell you what and why when you ask.

9Changes to this notice

When we publish a new version we will ask you to read and accept it before you carry on using the platform. We record which version you accepted and the language it was shown to you in.
